Waitlisted & Dropped Students in Canvas

Learn how drops & waitlist changes appear in your course

Last Updated: September 23rd, 2026

What happens when a student drops my course?

  • Dropped students remain in the People list with a grey Inactive tag.
  • Inactive students can no longer access the course in any capacity.
  • Inactive students do not appear in the Gradebook.

Students who drop after the term starts, or who have interacted with the course in any way, stay in the People list with an Inactive tag. Before the term begins, a regular cleanup process removes inactive students who have no course activity, so you may see them only briefly.

How do waitlisted students appear?

  • Waitlisted students have the role Student-Waitlist. Enrolled students have the role Student.
  • When a waitlisted student is enrolled in the class, their role changes automatically from Student-Waitlist to Student.
  • Waitlisted students who are dropped from the waitlist and have interacted with the course may show a grey Inactive tag.
  • Waitlisted students who had zero interaction with the course will be deleted completely

Losing course access without notice will be confusing for students.

Instructors will want to let waitlisted students know that their access will automatically end if they are dropped from the waitlist. In the case of official drops, students will be notified by via student enrollment services and our student information system (Banner).

How can I view only waitlisted students in the Gradebook?

Waitlisted students appear in the Gradebook with no distinction from enrolled students, and the Gradebook cannot be filtered by role. As a workaround, you can tag waitlisted students:

  1. Go to People.
  2. Filter by role and select Student-Waitlist.
  3. Create a new tag (for example, “Waitlisted”) and apply it to these students.
  4. In the Gradebook, filter by that tag to show only waitlisted students.

This tag does not update automatically. Update it as students move off the waitlist.

Will inactive students be removed from my course?

ATC may remove inactive enrollments that have no course activity. Safeguards are in place to prevent the deletion of any enrollment that contains student data.
