Why is Lane Community College creating a Google account for me?

Google Workspace for Education will be provide a more secure and reliable system of communication between students, instructors, and the school. Google has signed a contract committing them to uphold a strict privacy policy and to always treat your personal information with the utmost care and security. Google has agreed that Lane student data is subject to the Family Educational Rights and Privacy Act (FERPA) when in Google's possession. Read more about Google Privacy & Security

  • Delivery of mail to you and from you will be more reliable; not subject to spam filtering, delays, and delivery failures.
  • It will make your private grade or other information more secure.
  • With a .edu email address, you can claim a variety of discounts on software and services like Microsoft Office, Amazon Prime, Spotify, Apple Music, Dropbox Pro, Github, etc.

Your Lane email address will be the primary method of communication used by Lane Community College to send you information and updates once claimed.

What is Google Workspace for Education, and what can I do with it?

Google Workspace for Education is a suite of communication and collaboration tools available to educational institutions. Google is currently offering schools a hosted solution for their email, calendar, and chat through Google Workspace for Education, the core suite of software. LCC has enabled Gmail, Google Drive, Google Docs, Google Calendar, and Google Groups. Google Workspace was formerly named Google Apps for Education. On September 29, 2016, Google changed the name of Google Apps for Education to Google Workspace for Education. G Suite is still the same all-in-one solution, with the same powerful tools like Gmail, Docs, Drive, and Calendar. 

What is my Google Workspace user name?

Your new email account will be created using your last name and the first letter of your first name at my.lanecc.edu (LastnameF@my.lanecc.edu). If your first and last name matches another student, your middle initial, and possibly a number, will be added to the email address for uniqueness (LastnameFM12@my.lanecc.edu or DoeJM1@my.lanecc.edu). Spaces or special characters such as hyphens or apostrophes will be removed. Your Google Workspace for Education password will be the same password you use with your L Number. Your Google Workspace account name can found by logging into ExpressLane and following the link for “Student Email (Google Workspace for Education)” in the “Personal Information” section of the ExpressLane Home panel or at https://lanecc.edu/Googleworkspace.

Do I have to use Google Workspace for Education?

Yes; your LaneCC email address will be the only email address used by Lane Community College to send you information and updates. Additionally, instructors may require the use of Google Workspace in their classes.
 

Will there be advertisements with Google Workspace for Education?

Ads are turned off in Google Workspace for Education and Google Workspace for Education users don't see ads when they use Google Search and are signed in to their Google Workspace for Education accounts.

Will Google collect any information for marketing purposes?

No; Google Workspace for Education services don't collect or use student data for advertising purposes or to create ad profiles.

Gmail for consumers and Google Workspace for Education users runs on the same infrastructure, which helps Google deliver high performance, reliability, and security to all of our users. However, Google Workspace is a separate offering that provides additional security, administrative and archiving controls for education customers.

Like many email providers, Google does scanning in Gmail to keep customers secure and to improve product experience. In Gmail for G Suite for Education, this includes virus and spam protection, spell check, relevant search results and features like Priority Inbox and auto-detection of calendar events. Scanning to provide product features is done on all incoming emails and is 100% automated. Google does NOT scan G Suite for Education emails for advertising purposes.

Additionally, Google does NOT collect or use any information stored in Google Workspace for Education users' Google Drive or Docs (or Sheets, Slides, Drawings, Forms) for any advertising purposes.

Is Google Workspace for Education private and secure?

Privacy is an important consideration when data is hosted by a third party. Google has a published privacy policy. In this policy Google says that it adheres to the US Safe Harbor Privacy Principles of notice, choice, onward transfer, security, data integrity, access and enforcement. The policy also outlines the particular information that Google collects and how this information is used. In a separate document, Your security and privacy, Google addresses third party use of data.

Your G Suite for Education Account is managed for you by Lane Community College. Lane’s G Suite for Education Administrator will have access to your G Suite for Education Account information (including your email and other data). The Lane Administrator may be able to:

  • View statistics regarding your account, like statistics regarding applications you install.
  • Change your account password.
  • Suspend or terminate your account access.
  • Access or retain information stored as part of your account.
  • Receive your account information in order to satisfy applicable law, regulation, legal process or enforceable governmental request.
  • Restrict your ability to delete or edit information or privacy settings.

Is my organization compliant with FERPA and the U.S.-EU Safe Harbor agreement if we use Google Workspace for Education?

Google Workspace for Education complies with Family Educational Rights and Privacy Act (FERPA) and their commitment to do so is included in our agreements

What happens to my Google Workspace Account when I leave Lane Community College?

You may continue to use your Lane email and Google Workspace for Education after leaving Lane Community College. However, after 4 quarters of being away your account will be deactivated. The next time you apply to the college and sign up for classes the account will be reactivated. If Google changes their terms of service Lane Community College reserves the right to discontinue using Google Workspace.


What happens if I misuse my Google Workspace For Education Account?

The same expectations for acceptable use of technology (as outlined in the Appropriate Use of Technology) apply to Google Workspace for Education accounts. Students who misuse their accounts will be referred to Student Services who will deal with any infraction on a case-by-case basis. Administrators may choose to suspend student access to Gmail (preserving access to Docs and other Apps for classroom use) or may choose to suspend a student's account privileges entirely for a length of time appropriate for the offence.
