Communicating with Students in Canvas

Announcements, Inbox, and Notifications

Last Updated: October 19th, 2026

Canvas offers two distinct ways to reach student:

  • Announcements share a message with everyone in your course or with selected sections.
  • The Inbox sends a private message to one student, a group, a section, or the whole class.

Both tools send notifications, but each person controls whether and how they receive them, so no Canvas message is guaranteed to reach a student's email.

Whether students see a message, and whether Canvas notifies them, also depends on your course: whether it is published, and whether the term has started or ended.

Choosing the Right Tool

Feature Announcements Inbox
Best for Course-wide updates, such as welcome messages, weekly overviews, schedule changes, and reminders Private or targeted messages, such as individual follow-ups or messages to a group or section
Who sees it Everyone in the course, or only the sections you select Only the people you choose
Where students find it The course Announcements page, and optionally the course Home Page Their Canvas Inbox
Replies Optional; replies are visible to the class Private to the people in the conversation
Before the term starts Students are not notified Students are notified, as long as the course is published

Canvas Announcements

Use Announcements for information everyone in the course needs. Students can read announcements in the course at any time, and Canvas notifies them when an announcement posts in a published, active course. For step-by-step instructions, see Canvas Announcements Overview and How do I add an announcement in a course?

Tips for Announcements

  • Publish your course first. Students cannot see announcements in an unpublished course, and no notification is sent. Publishing the course later does not send notifications for announcements that were already posted.
  • Time your first announcement. Announcements posted before the term starts do not trigger notifications, even once the term begins. To notify students on the first day, schedule your welcome announcement to become available on or after the term start date.
  • Schedule ahead. Set an Available from date (shown as Delay posting in older versions of the editor). Students are notified when the announcement becomes available, as long as the course is published and active.
  • Post to specific sections. If your course includes more than one section, such as a metacourse, use the Post to field to reach only the sections you choose.
  • Let students know when to open Canvas. Embedded Kaltura videos and other embedded media do not play in notification emails. Add a short line, such as "Open this announcement in Canvas to watch the video."
  • Expect attachments to require sign-in. Students must log in to Canvas to open a file attached to an announcement. The file is also saved to your course Files.
  • Feature recent announcements. You can show recent announcements at the top of your course Home Page.
  • Decide whether to allow replies. Replies are public to the class. You can allow or disallow announcement replies for your course.
  • Review copied or migrated announcements. Announcements brought in through a course copy or migration may show a "U" in place of a profile picture and no post date. Edit, delete, or repost them before you publish your course.
  • Keep announcements accessible. Use headings, descriptive link text, and alt text for images. See the Lane Accessibility Quick Guide.

Canvas Inbox

The Inbox works like email inside Canvas. Select Inbox in the Global Navigation menu, select Compose, choose your course, and then choose recipients in the To field: an individual student, a group, a section, or everyone in the course. For details, see How do I use the Inbox? and How do I send a message to all course users in the Inbox?

Tips for the Inbox

  • Publish your course first. Students do not appear as recipients in an unpublished course. Once the course is published, you can message students before the term starts, and they will be notified.
  • Send end-of-term messages before the course concludes. Canvas does not allow Inbox messages to students in a concluded course. Lane courses conclude at 12:00 a.m. on the day after final grades are due; see Schedule Changes and Grading Important Dates.
  • Protect student privacy. When messaging several students, select Send an individual message to each recipient. Each student receives a separate message, cannot see who else received it, and replies only to you.
  • Message students based on their work. In the Gradebook, use Message Students Who on an assignment column to contact students who, for example, have not submitted or scored below a set value. Each student receives a separate message. See How do I send a message to students from the Gradebook?
  • Reply from email or Canvas. Students and instructors can reply directly from a notification email, and the reply is added to the conversation in Canvas.
  • Know where attachments go. Files you attach to an Inbox message are saved to your personal Files, not your course Files.
  • Set expectations in your syllabus. By default, students can message you, classmates, and groups, but cannot message the whole class at once. Let students know how you prefer to be contacted and how quickly you typically respond.

Canvas Notifications

Canvas sends a notification whenever you post an announcement or send an Inbox message. By default, students receive both by email right away, at the email address on their Canvas account. Each person can change how often they are notified, add other contact methods such as push notifications in the Canvas Student app, or turn notifications off.

  • Encourage students to keep notifications on. If certain messages are essential, say so in your syllabus or a Getting Started module, and share How do I manage my Canvas notification settings?
  • Get a copy of what you send. In your own notification settings (Account > Notifications), set Announcement Created By You and Conversations Created by Me to notify you right away.
  • Adjust settings for one course. You can manage notifications for a single course without changing your settings for every course.
  • Learn more. Instructure's Canvas Notifications resource lists each notification type and its default setting.

When a Student Doesn't Receive a Message

If a student reports a missed announcement or message, check the following:

  • Is the course published?
  • Had the term started when the announcement posted?
  • Is the announcement scheduled to become available at a later date?
  • Has the student turned notifications off or changed them to a daily or weekly summary?
  • Has the student checked their spam or junk folder?
  • Is the student still enrolled? Students who drop the course become Inactive and lose course access. Waitlisted students appear with the Student-Waitlist role. See Waitlisted & Dropped Students in Canvas.

Quick Reference: Messages & Notification Timing

Use this reference to check whether students can see your message and whether Canvas will notify them, based on your course's publishing status and dates.

Posting an announcement or sending an Inbox message automatically triggers a Canvas notification. By default, students receive these notifications by email right away. Each student, and each instructor, controls their own notification settings, including: Whether they are notified at all, how often they are notified (right away, daily, or weekly), where notifications go (ie. email, mobile app, etc).

Your course's publishing status and dates also determine whether Canvas sends a notification in the first place. The flowcharts in the next two sections show how.

Messages

Start at the top and follow the path that matches your course.

When you can send Canvas Inbox messages Flowchart. If your course is unpublished, you can't send Inbox messages. If it is published and the term has not started or is active, you can send messages and students are notified. If the course has concluded, you can't send messages. A text version follows the chart. Is your course published? You can't send messages yet Students won't appear as recipients until you publish the course. No Yes Where is your course in the term? Not started yet The start date is in the future. Active Today is between the start and end dates. Concluded The end date has passed. Lane courses conclude at 12:00 a.m. the day after final grades are due. You can send messages, and students are notified Message individual students, groups, sections, or the whole class. Messages arrive in each student's Canvas Inbox. You can't send messages Canvas doesn't allow Inbox messages to students in a concluded course.
Text version of the Inbox flowchart
  1. Is your course published?
    • No: You can't send messages yet. Students won't appear as recipients until you publish the course.
    • Yes: Go to step 2.
  2. Where is your course in the term?
    • Not started yet (the start date is in the future): You can send messages, and students are notified.
    • Active (today is between the start and end dates): You can send messages, and students are notified.
    • Concluded (the end date has passed): You can't send Inbox messages to students in this course. Lane courses conclude at 12:00 a.m. the day after final grades are due.

When you can send, you can message individual students, groups, sections, or the whole class. Messages arrive in each student's Canvas Inbox.

Notifications

Start at the top and follow the path that matches your course.

When students see Canvas announcements and are notified Flowchart. If your course is unpublished, students can't see announcements and aren't notified. If it is published and active, students see announcements and are notified. If it has concluded, posted announcements stay visible but no notifications are sent. If it hasn't started, students aren't notified, and whether they can see the announcement depends on the setting that restricts viewing before the start date. A text version follows the chart. Is your course published? Not visible, no notification Students can't see the announcement until you publish the course. No Yes Where is your course in the term? Not started yet The start date is in the future. Active Today is between the start and end dates. Concluded The end date has passed. Lane courses conclude at 12:00 a.m. the day after final grades are due. Visible, and students are notified Scheduled announcements notify students when they become available. No notification Students keep read-only access (Lane default), so posted announcements stay visible. You can't add new ones. Can students view the course before it starts? This depends on the course setting “Restrict students from viewing course before term start date.” Yes (unrestricted) No (restricted) Visible, no notification Students can read the announcement in Canvas, but they aren't notified. Not visible yet, no notification Students can't see the announcement until the start date.

Tip: To make sure students are notified on the first day of the term, schedule your welcome announcement with an Available from date on or after the term start date. To reach students before the term starts, publish your course and send an Inbox message instead.

Text version of the Announcements flowchart
  1. Is your course published?
    • No: Students can't see the announcement until you publish the course, and no notification is sent.
    • Yes: Go to step 2.
  2. Where is your course in the term?
    • Not started yet (the start date is in the future): Go to step 3.
    • Active (today is between the start and end dates): Students can see the announcement and are notified. Scheduled announcements notify students when they become available.
    • Concluded (the end date has passed): No notification is sent. Lane keeps students' read-only access by default, so posted announcements stay visible, unless the ATC has turned off student access for the course. You can't add new announcements to a concluded course.
  3. Can students view the course before it starts? This depends on the course setting "Restrict students from viewing course before term start date."
    • Yes (unrestricted): Students can read the announcement in Canvas, but they aren't notified.
    • No (restricted): Students can't see the announcement until the start date, and they aren't notified.

For more about the viewing restriction, see How do I restrict student access to a course before or after the course dates? If you are unsure how your course is set, contact the ATC. For details on concluded courses, see Course Access After the Term Ends.
